Flexibility and adaptation to your business
How exactly does your system adapt to the individual processes of my company?
Our system is tailored precisely to your organisation. We model your processes and operational workflows in detail and translate them one-to-one into a live, executable system.
Can you provide examples of implementations in companies with complex or non-standard workflows?
Yes. Our system has already been implemented across various industries, including logistics, the financial sector and HR process environments.
Do we need to change our processes, or does the platform adapt to our existing workflows?
The core principle of DYNAMIXS.AI is that any process in any organisation can be mapped. We are not constrained by predefined systems or rigid process templates. Instead, we adapt flexibly to your requirements and model your processes exactly as they are executed in your organisation.
How long does it typically take to fully map a process in your system?
We start with a detailed discussion of your organisational structure, current workflows and the challenges to be addressed. During this interview, we model your processes directly in our workflow system. Within approximately two hours, we deliver a runnable system skeleton.
Subsequent integration into your existing IT environment follows until the final system is fully implemented. Typically, including integration, this takes up to two weeks, depending on the complexity and openness of your current IT landscape.
Can I model processes that change frequently, such as seasonal workflows or dynamic team structures?
Yes. Our integrated workflow system provides a high degree of flexibility. Both organisational and team structures can be adjusted dynamically — even during live operation.
Security and compliance
How does DYNAMIXS.AI ensure that our sensitive business data remains protected?
We are a European company and therefore fully compliant with GDPR requirements. Your data is stored on secure servers operating in protected environments. The system can be deployed either in your own data centre or as a SaaS solution.
Which security standards or certifications does your platform meet?
The platform is operated on dedicated infrastructure in German data centres. It supports data protection requirements through configurable data paths, role and permission concepts and traceable logging, and it is designed for the requirements of the EU AI Act. How those requirements are met in law depends on your configuration and purpose, which is assessed in each deployment.
The data centres are certified to ISO/IEC 27001:2022 — Hetzner Online GmbH, scope: all hosting services and data centres.
DYNAMIXS.AI itself does not hold an ISO certification, and none is currently planned. We treat certification as a procurement requirement rather than a marketing exercise: where a customer process calls for it, we pursue it as part of that project.
What the platform provides today: operation on dedicated infrastructure in German data centres, a locally operated model by default, so no model provider sits in the data path unless you configure one, processing built for data protection requirements, roles and approvals bound to the process model, and an audit trail that records every step.
Who has access to our data — only us, or also external partners or cloud service providers?
All systems operate in a secure environment, and data is stored in encrypted form. Access is governed by the roles and permissions defined in your process model.
By default, AI tasks are processed by a locally operated model inside your dedicated environment, so no model provider sees your data. Where you deliberately configure an external model for a particular task, only the data that task requires is passed to that service. Which model handles which task, and which data path it uses, is defined per task in the process model and recorded in the audit trail.
Beyond that, no external partner has access to your data or processes.
How is the platform prepared for the EU AI Act?
The platform is designed for the requirements of the EU AI Act. Three of them are part of how it executes a case, not of a report written afterwards:
- Every agent step is bound to a role defined in the process model.
- Human oversight sits at defined points: the model decides where an approval is mandatory before a case can continue.
- Input, model, model version, result and timestamp are recorded for every step, so a decision can be traced back to its basis.
A formal conformity assessment is a separate matter and is not claimed here.
How does the system respond to security incidents? Are logging and audit capabilities available?
All process steps are logged without gaps. Every action can be traced down to the user level and, if required, exported for review by external auditors.
Value, ROI and experience with other vendors
I have tried other BPMN systems that were too rigid. How is DYNAMIXS.AI different?
Our key differentiator is that any modelled process is automatically transformed into a fully operational IT system. You do not need to adapt your processes to our platform; instead, we model and execute your processes exactly as they are practiced in your organisation.
How quickly can I see real results and measurable process improvements?
Once the system is set up, it is immediately ready for productive use. The first process typically runs within days rather than months, and every case from then on produces process data you can measure against.
Which processes should we test first without having to transform everything at once?
In customer projects, we first model the organisation within the system and start with a simple process. This allows customers to experience how intuitive and flexible the system is. We then gradually extend the solution by adding additional processes until all requirements are fully implemented.
Are there case studies or success stories demonstrating that your approach works?
Yes. Dr. Dietrich Müller GmbH has been running its process platform since 2016 and today operates thirteen workflows with more than 15,000 cases per year. The success story is published with the customer's approval — read it here. Beyond that, we can demonstrate live systems currently in operation.
What happens if a process model is not optimal initially? How flexible are adjustments?
This is one of the key strengths of DYNAMIXS.AI. Process models can be adjusted at any time — even during live operation. Changes or new process steps are modelled in the workflow engine and automatically deployed to the production system. We can even change the workflow during a live presentation, and you will see the change immediately.
Integration and technology
How does DYNAMIXS.AI integrate into our existing IT landscape?
Integration is one of our strengths. We rely on robust API-based integration and flexible interfaces, enabling seamless integration into existing IT environments.
Which interfaces are supported?
In addition to standard interfaces such as SQL, XML and CSV, we offer powerful APIs for major ERP systems. A complete list of supported interfaces is available on request.
Will we need our own developers, or is the platform fully user-friendly?
No developers of your own are required to model or adjust workflows. Processes and rules are maintained visually in BPMN 2.0 and through AI prompts — a change takes effect without code and without waiting for a release cycle.
Your IT team is needed once, to connect the existing systems through our standard APIs. After that, the people who own the process own the model.
Can the system scale if we add new departments or subsidiaries?
Yes. The system is fully multi-tenant capable and supports multiple languages. You can extend your organisational structure at any time and roll out processes to new subsidiaries or integrate them as separate tenants.
Process understanding and support
How does the platform support our teams in process modelling?
A process and AI specialist models the system based on your specifications and existing workflows. In joint workshops, processes are visually modelled and translated directly into a fully functional live system.
Do you offer training or consulting so our employees can model processes correctly?
Yes. We provide training for employees who will later model processes independently. We also train IT teams to ensure smooth integration into the existing IT landscape.
Can the AI suggest process improvements, or does it only document processes?
DYNAMIXS.AI uses process descriptions, system data and stored documents as contextual input for its AI components. Over time, as more context is accumulated, the AI increasingly understands how your organisation operates. This enables the identification of potential bottlenecks and opportunities for process optimisation.
Using AI
Which specific AI technologies do you use?
We deploy local large language models within the DYNAMIXS.AI platform. Currently we use Mistral, but other models can be integrated on request. AI agents and MCP are also supported.
What data is your AI trained on?
The language models are pre-trained models. We do not train them on your data.
How does your system learn and improve over time?
We create a contextual model derived from process models, data and documents. Over time, this context enables the AI to deliver increasingly accurate results as it gains a deeper understanding of your organisation and workflows.
What measurable improvements does the AI deliver?
AI is used at several points throughout the system:
External document processing Process and metadata are extracted automatically, and document summaries are stored in the context database. → Improved search, automation and time savings for case workers.
AI-driven workflow rules Complex rule systems are modelled and maintained via AI prompts. → Faster modelling, fewer errors.
Expert knowledge integration Domain expertise can be embedded to support decisions at specific process steps. → Functionality previously achievable only through custom development.
Automated process support For example, quotation drafting from an analysis of the customer enquiry combined with the product range. → Significant time savings.
Ask anything Users can ask contextual questions directly within the process. The AI knows the current process step and answers immediately.
In preparation: AI-driven process analysis and optimisation, and AI-supported process modelling and workflow adaptation.
Can you provide reference customers I can speak with?
Dr. Dietrich Müller GmbH has released its success story for publication: a process platform running since 2016, thirteen workflows in production and more than 15,000 cases per year, with AI integrated into those existing processes.
Beyond that, the underlying workflow engine is in production with customers in automotive, logistics, finance, human resources and city administration. Further named references can be arranged on request, subject to each customer's approval.
